At HR Instance, we believe in full transparency about the data we collect and how we use it. Your employees' personal and financial data is yours — we are simply the custodian. This page explains our telemetry and usage data practices in plain language.
What We Collect

- •We never collect employee names, salaries, or HR records as telemetry
- •We never sell telemetry data to third parties
- •We never use data for advertising or profiling
- •We never share usage data with your competitors
- •We never read the contents of your payroll or leave data
1. Telemetry Data — Details
Our telemetry system collects non-identifiable usage signals. This means:
- Events are anonymised before storage — no user name or employee ID is attached
- Data is aggregated at the account level only (e.g., "Company X used Payroll module 12 times this week")
- IP addresses used for geo-detection are truncated and not stored in full
- We use our own telemetry pipeline — no third-party analytics platforms have access to raw event data
2. Your HR & Employee Data (Not Telemetry)
Your HR data (employee records, payroll figures, attendance, leaves) is completely separate from our telemetry system. This data is processed strictly on your behalf and is never read, analysed, or used for any purpose beyond delivering the service to you.
3. Data Retention for Telemetry
- Raw telemetry events are retained for 90 days and then auto-deleted
- Aggregated analytics (totals, trends) are retained for up to 2 years to observe long-term platform trends
- Error logs are retained for 30 days for debugging purposes
4. Your Controls
- Opt Out: Enterprise plan customers can request to opt out of non-essential telemetry by contacting support
- Data Request: You can request a summary of telemetry data collected about your account
- Deletion: Upon account deletion, all telemetry data is purged within 90 days
5. Third-Party Sub-processors
The following sub-processors may receive anonymised, aggregated data as part of our infrastructure:
- AWS (India): Storage and compute
- Datadog: Infrastructure monitoring (anonymised server metrics only — no HR data)
- Sentry: Error tracking (stack traces only — no user PII)
